Description


The Global Partnership for Education is the world’s premier partnership and fund focused entirely on basic education in developing countries. Partners include over 67 developing country nations, over 20 donor governments, as well as multilateral development agencies private sector and civil society and teachers’ organizations. The Board of Directors is GPE’s governing body, sets policy and strategy and determines funding.

The Global Partnership for Education coordinates and leads a global effort to deliver quality education to all children, prioritizing the poorest and most vulnerable. GPE helps developing country partners to strengthen education systems through quality sector plans that drive equity and learning outcomes. It has allocated over US$5 billion in grants to date. 

GPE is seeking to recruit an experienced Board operations and events assistant to support the intensive governance and events related work of the partnership. The successful candidate will work closely with a number of Board operations officers and will initially report to the Chief Financial Officer until such time as a Governance Team Lead has been appointed. The candidate will also work closely with the Operations Analyst responsible for the overall logistical arrangements for the Board of Directors and Board Committee Meetings, Developing Country Partners (DCPs) meetings, workshops organized by the unit and any other events.  It is expected that the Board Operations and Events Assistant will demonstrate flexibility and availability as required, given events management occasionally requires work that may go beyond regular business hours.


Duties and Accountabilities


The Global Partnership for Education (GPE) Governance Team is seeking to hire an experienced, high-performing, energetic team member with excellent organizational skills and ability to adapt to a changing, deadline driven work environment.  In this role, the Board Operations and Events Assistant will be part of the Governance Team’s work program.  As outlined below, the responsibilities will include, but are not limited to, activities to support both the Event team’s work program and the Governance team committee work:

  • In coordination with relevant Board operations officers and operations analyst, support the planning of Committee meetings, including securing of locations, organizing interpretation, IT support, catering for the event, plus onsite logistical and administrative support as needed.

  • Assist on travel arrangement for Developing Country Partner delegates for Committee Meetings;

  • Help monitor travel expenses of GPE-funded Committee members ensuring accuracy and compliance with applicable GPE and World Bank policy

  • In coordination with the team lead and team members, organize team meetings including securing rooms, calendar invites, and preparing the agenda and documentation for each meeting, including taking minutes and following up on actions arising.

  • Maintain the Board and Committee forward workplan ensuring input received in a timely manner from relevant team members and other Secretariat staff

  • Communicate effectively with the Governance Team on the status of Board and Committee documentation in a timely manner;

  • Edit and format Committee and Board documents, as required to ensure they comply with applicable standards.

  • Liaise with members of the Governance team and translation services to support the prioritization and timely translation of Board and Committee papers.

  • Ensure relevant documents for events are uploaded correctly to the meeting registration site;

  • Assist on handling a variety of tasks at Board meetings to ensure smooth event management such as coordinating the display of presentations on screen, liaising with on-site technicians, staff of external vendors supporting the event, and printing and distributing documents etc.

  • Respond to internal or external requests, as required;


Selection Criteria


  • Undergraduate degree in business administration;

  • Demonstrated experience with supporting the administrative and logistical work of large scale events 

  • Demonstrated experience supporting a high-level committee such as a Board or senior executive team Quantitative skills and mastery in the use of Word

  • Ability to navigate SharePoint based systems

  • Excellent organizational skills and attention to detail;

  • Ability to prioritize and deliver assignments in a timely manner;

  • Ability to think creatively, and drive for excellence;

  • Demonstrated strong written and data analysis skills with an ability to convey messages effectively and precisely as required;

  • Excellent verbal and communication skills in English [French and Spanish desirable];

  • Cultural awareness mindset and team player profile required;
